Google Sheets offers a \u2018Share\u2019 feature that allows you to share your entire Google Sheets files with others. Although this is useful in some cases, the majority of the time you want to only share specific parts of the spreadsheet with others. Unfortunately, Google Sheets does not offer a way to do this. So how can we export specific data from Google Sheets? The main reason is that there is no way to control exactly what people have access to &#8211; they are able to view the entire spreadsheet. In the majority of business situations, spreadsheets contain a lot of important, private data that needs to be protected.<\/p>\n<p>With the Sheetgo add-on, you can send specific data from spreadsheets that allows you to keep data private. Let\u2019s say I\u2019m creating a spreadsheet detailing each of my employee\u2019s performance for the year. I can\u2019t use Google\u2019s \u2018Share\u2019 feature because each employee would have access to the other employee\u2019s private performance data. So, using the Sheetgo add-on, I can make sure that this data remains private, only sharing specific data with the corresponding employee.<\/p>\n<p>[\/et_pb_text][et_pb_text _builder_version=&#8221;4.16&#8243; _module_preset=&#8221;default&#8221; global_colors_info=&#8221;{}&#8221;]<\/p>\n<h2>How to export data from Google Sheets<\/h2>\n<p>With the Sheetgo add-on for Google Sheets, you can choose exactly how much data you want to share. Sheetgo will export your specific data to a new or existing spreadsheet, which you can then share with recipients.<\/p>\n<p>Sheetgo offers two ways to export specific data from Google Sheets. Firstly, you can use export a specific tab from your spreadsheets. Secondly, you can use the Filter features to select specific columns or groups of data to export. Let\u2019s look at both versions and how to use them within the Sheetgo add-on.<\/p>\n<p>[\/et_pb_text][et_pb_text _builder_version=&#8221;4.16&#8243; _module_preset=&#8221;default&#8221; global_colors_info=&#8221;{}&#8221;]<\/p>\n<h3>How to automatically export a tab from one Google Sheet to another<\/h3>\n<p>Let\u2019s use the example mentioned above. I have a Google Sheets file dedicated to my employee\u2019s performance during the past year. Install Sheetgo<\/h4>\n<p>Firstly, you need to install the Sheetgo add-on into Google Sheets. Do so by clicking the blue button below. It takes you to the Google Workspace Marketplace where you can directly install the add-on. Make sure you sign up to Sheetgo.<\/p>\n<p>Alternatively, open Google Sheets and head to <strong>Add ons &gt; Get add-ons<\/strong>. Choose tab and export data<\/h4>\n<p>Under the <b>Export data<\/b> section, click <b>Select data<\/b>. Now, choose the tab you wish to export. Perhaps there are only certain columns or rows of data that we want to export from Google Sheets. Or perhaps we want to export the rows that contain a certain number. The Sheetgo add-on offers a <b>Filter<\/b> feature which allows you to filter down the data you wish to export even further.<\/p>\n<p>To demonstrate this, let\u2019s imagine that I have a Google Sheets file with all employee performance data in one tab.<\/p>\n<p>[\/et_pb_text][et_pb_image src=&#8221;https:\/\/static.sheetgo.com\/wp-content\/uploads\/2022\/05\/Export-GS-7.png&#8221; alt=&#8221;Export Google Sheets 7&#8243; title_text=&#8221;Export GS 7&#8243; align=&#8221;center&#8221; _builder_version=&#8221;4.16&#8243; _module_preset=&#8221;default&#8221; global_colors_info=&#8221;{}&#8221;][\/et_pb_image][et_pb_text _builder_version=&#8221;4.16&#8243; _module_preset=&#8221;default&#8221; global_colors_info=&#8221;{}&#8221;]<\/p>\n<p>My boss has sent over different types of data he wants to see:<\/p>\n<p>[\/et_pb_text][et_pb_text _builder_version=&#8221;4.16&#8243; _module_preset=&#8221;default&#8221; global_colors_info=&#8221;{}&#8221;]<\/p>\n<ol>\n<li>The data of employees who scored a total of 50 or over<\/li>\n<li>Columns containing the names of the employees and their average performance score only<\/li>\n<li>The data of the lowest scoring employee (in red)<\/li>\n<\/ol>\n<p>[\/et_pb_text][et_pb_text _builder_version=&#8221;4.16&#8243; _module_preset=&#8221;default&#8221; global_colors_info=&#8221;{}&#8221;]<\/p>\n<p>I can use any of the <b>Filter<\/b> functions within the Sheetgo web app to filter specific data to meet each of these requests, rather than simply by tab.<\/p>\n<p>In order to use these filters, follow Steps 1 and 2 in the instructions above, then use one of the 3 filter options we will now look at below.<\/p>\n<p>[\/et_pb_text][et_pb_text _builder_version=&#8221;4.16&#8243; _module_preset=&#8221;default&#8221; global_colors_info=&#8221;{}&#8221;]<\/p>\n<h4>Option 1: Filter by condition<\/h4>\n<p>The <b>Filter by condition<\/b> function allows you to create either single or multiple conditions that Sheetgo tests your data against. Any data that fulfills the condition(s) will be exported.<\/p>\n<p>With the filter condition, I can achieve request one by my boss &#8211; exporting the data of employees who scored a total score of 50 or over.<\/p>\n<p>Once you have selected your Google Sheets file and selected tab, scroll down to the <b>Filter data<\/b> section and select <b>Filter by condition<\/b>.<\/p>\n<p>[\/et_pb_text][et_pb_image src=&#8221;https:\/\/static.sheetgo.com\/wp-content\/uploads\/2022\/05\/Export-GS-8.png&#8221; alt=&#8221;Export Google Sheets 8&#8243; title_text=&#8221;Export GS 8&#8243; align=&#8221;center&#8221; _builder_version=&#8221;4.16&#8243; _module_preset=&#8221;default&#8221; global_colors_info=&#8221;{}&#8221;][\/et_pb_image][et_pb_text _builder_version=&#8221;4.16&#8243; _module_preset=&#8221;default&#8221; global_colors_info=&#8221;{}&#8221;]<\/p>\n<p>Here you can choose to create a single or multiple conditions. For this example, I can create one single condition. Both the highest and lowest employee are in color; the highest in green, the lowest in red. Jamie is her assistant who uses sales reports to reach out to customers, to inquire about their overall experience with the products they purchased. So, Jamie has to just share with her the data from columns B and G. The client and sales information is not as important. Therefore Jamie doesn't need to share the data from the columns A, C, D, E, and F.\n\nSince there is no direct way to eliminate the unnecessary information, to date, Jamie has been doing the following.\n<ul>\n \t<li>Make a copy of the <strong>Sales Data + Satisfaction Survey<\/strong> file<\/li>\n \t<li>Remove columns A, C, D, E, and F<\/li>\n \t<li>Share the resulting spreadsheet with Sylvia.<\/li>\n<\/ul>\nWhile doing that helps the situation, it is a repetitive manual process, which fortunately can be averted by making use of the Sheetgo add-on.\n<h3>Solution: Export data from Google Sheets using Sheetgo add-on<\/h3>\nSheetgo add-on for Google Sheets boosts the connectivity of spreadsheets to the next level. With Sheetgo we can import, export, merge, stack or mirror data. If not already installed, we can get it by clicking the button below:\n\n[panel][ccj id=\"Install Widget\"][\/panel]\n\n[button type=\"big\" color=\"green\"] Link text[\/button]\n\nWith this rather extremely handy tool, we can configure Google Sheets to automatically export data from Google Sheets, even with predefined conditions if need be!. Not only that, we can even configure the frequency at which these exports can happen \u2013 hourly, daily, weekly or monthly. The export takes place from the current spreadsheet to other spreadsheets \u2013\u00a0both ours and other users\u2019.\n<h3>Configuration: Steps to automatically export data from Google Sheets<\/h3>\nFor the purposes of illustration, we are going to export data range from the <strong>Sales Data + Satisfaction Survey<\/strong> file to <strong>Satisfaction Survey Analysis<\/strong> file which Sylvia owns. For this to happen, it is a pre-requisite that Sylvia grants her write access permissions to the <strong>Satisfaction Survey Analysis<\/strong>\u00a0file, without which, this automation won't work.\n<h4>1. Start Sheetgo and initiate an export link connection<\/h4>\nNow that we have Sheetgo installed on our Google Sheets application, we now open the \u201c<strong>Sales Data + Satisfaction Survey<\/strong>\u201d file. To start the add-on, we navigate to <strong>Add-ons > Sheetgo > Start<\/strong>.\n\n[panel type=\"default\"] <strong>Example<\/strong> <img class=\"aligncenter wp-image-5772 size-full\" src=\"https:\/\/static.sheetgo.com\/wp-content\/uploads\/2017\/11\/exportdata2.png\" alt=\"Export data from Google Sheets - Illustration 3\" width=\"772\" height=\"272\" \/>[\/panel]\n\nDoing so will open the Sheetgo interface on the screen as a sidebar. Hover the mouse pointer over the green circle with a plus, and click on the <strong>Export<\/strong> option.\n<h4>2. Link source sheet with the destination file that we need to send the data to<\/h4>\nClicking the <strong>Connect<\/strong> option leads us to the list of most recently updated files by default. In case the Sylvia wants that the data be preserved rather than refreshed every day, Jamie could go with <strong>Append<\/strong> option.\n\nIf we don\u2019t see the file we want, we can use the search module to lookup a file within the Google Drive. For this example, we select <strong>Satisfaction Survey Analysis<\/strong>\u00a0file for destination spreadsheet, and then for source sheet choose <strong>Sales + Survey<\/strong>.\n\n[panel type=\"default\"] <strong>Example<\/strong> <img class=\"aligncenter wp-image-5773 size-full\" src=\"https:\/\/static.sheetgo.com\/wp-content\/uploads\/2017\/11\/exportdata3.png\" alt=\"Export data from Google Sheets - Illustration 4\" width=\"900\" height=\"592\" \/>[\/panel]\n\nWe then arrive at the settings screen. Here we can select the frequency of updates in the \u201c<strong>Automatic update<\/strong>\u201d section. We change the option to \u2018Monthly\u2019 because Jamie needs to send data from \u2018<strong>Sales Data + Survey Information<\/strong>\u2019 file every month.\n<h4>3. Add the filter condition for selective data import, and create a connection<\/h4>\nPlease note that if we\u00a0ignore the process of adding a filter condition altogether and click on <strong>CONNECT<\/strong> at this point, Sheetgo exports entire data range from the\u00a0<strong>Sales + Survey<\/strong> sheet.\n\nBut in this example, we are exporting only columns B and G. To do this, we may have to scroll down a bit on the sidebar until we see <strong>Filter by<\/strong> section. By default, it shows <strong>No active filter<\/strong>. Click on \u2018<strong>edit<\/strong>\u2018 to add a condition. Choose \u2018<strong>Query Language<\/strong>\u2018 option, and key in the following statement.\n\n[panel]<strong>SELECT B, G<\/strong>[\/panel]\n\nThe <strong>Filter by<\/strong>\u00a0section now shows \u201c<strong>SELECT B, G<\/strong>\u201d. Just to avoid any confusion, we change the connection name to <strong>Survey_Export<\/strong>. Please note that we can change the frequency with which these data imports happen or even turn off the automatic setting altogether. Shown below is how we navigate to the corresponding settings pane.\n\n<strong>Connection name<\/strong> (in this case \u201cSurvey_Export\u201d) > <strong>edit<\/strong> (the pencil icon) > <strong>Automatic update<\/strong> > <strong>edit<\/strong>.\n\nClick on the green slider button to turn the automatic update off. Instead, we can keep the automatic update active, and change the scheduling frequency and execution time as required.
