To the extent that, even today they continue to be an integral part of our work life. Like everything else, they have evolved into much more powerful, robust and advanced applications. And in the current information age, they are made even more user-friendly, in the sense that they can be accessed from anywhere and any device. <a href=\"https:\/\/www.google.com\/sheets\/about\/\" target=\"_blank\" rel=\"noopener noreferrer\">Google Sheets<\/a> has been the on the forefront of this innovation. Yet, not all &#8216;good-to-have&#8217; things are part of it. All the employees use Google Sheets for their spreadsheet needs. His job involves analyzing sales data, identify trends, skim the customer spending patterns and establish the likelihood of their upcoming purchases. Once he has the list ready, he will need to filter out those customers with a high probability of future purchases and send it to Kirk, from the customer services relations (CRM) team. Kirk would then reach out to each of those customers with attractive deals and offers, and persuade them to visit the store. Every time he has a new list, he can filter it\u00a0to retain only the high probable prospects and accordingly shares that filtered list to Kirk. It might look easy. But, what if\u00a0there are a considerable number of\u00a0categories and CRM representatives to deal with (let\u2019s say about 50)? And, if he has to do that every day with the new list? Imagine the effort that Bryan has to put in to get out all the necessary information to the concerned parties. Not very easy! Therefore, we will need the help of the Sheetgo add-on, to accomplish this automation setup. This\u00a0add-on highly boosts the connectivity of Google Sheets.\u00a0It can automatically manage all the heavy-lifting that Bryan had to manually do (explained above). For this to happen seamlessly, it is a pre-requisite that Kirk grants Bryan necessary edit access control to the file Sales Prospects.<\/p>\n<p>[\/et_pb_text][et_pb_text _builder_version=&#8221;4.16&#8243; global_colors_info=&#8221;{}&#8221;]<\/p>\n<h4>1. Start\u00a0Sheetgo and initiate a connection<\/h4>\n<p style=\"text-align: justify;\">Now that we have Sheetgo installed on our Google Sheets application, a new Google Sheets file will automatically open. This will be our\u00a0Sales Prospects\u00a0file where we want to export the filtered data coming from &#8220;Customer Analysis&#8221; to. Link with the source file to create the Export connection<\/h4>\n<p style=\"text-align: justify;\">Clicking the <strong>Select file(s)<\/strong>\u00a0option leads us to the list of most recently updated files by default. If we don\u2019t see the file we want, we can use the search module to lookup a file within Google Drive. Here we can select the frequency of transfers in the <strong>Automatic update<\/strong>\u00a0section. We enable this button and leave it to the default option,\u00a0<strong>Daily<\/strong>\u00a0because Bryan transfers the list every day. Add a filter condition for selective data export, and create a connection<\/h4>\n<p style=\"text-align: justify;\">Scroll down on the sidebar to reach the <strong>Filter by<\/strong>\u00a0section. Enable this button to add a filter condition. The probability related field is on column F on the <strong>Customer Analysis<\/strong>\u00a0file (please see the first snapshot). Bryan needs to send the list of all customers with probability greater than or equal to 0.6. Therefore we ensure it is <strong>Column F: Probability of next visit<\/strong>\u00a0in the first drop-down, <strong>Number greater than or equal to<\/strong>\u00a0in the second. The value in the text field will be, <strong>0.6<\/strong>.<\/p>\n<p style=\"text-align: justify;\">The\u00a0<strong>Filter by<\/strong>\u00a0section now shows <strong>Column F number greater than or equal to 0.6<\/strong>. Awesome! We just did export data with conditions in Google Sheets! Please note that we can change the frequency with which these data exports happen or even turn off the automatic transfers altogether. Shown below is how we navigate to the corresponding settings pane.<\/p>\n<p style=\"text-align: justify;\">Click on the<strong> 3 dots <\/strong>next to the<strong> connection name\u00a0<\/strong>(in this case \u201cSG_Sheet1\u201d)<strong>\u00a0&gt; edit\u00a0<\/strong>(the pencil icon)<strong>\u00a0&gt; Automatic update<\/strong>.<\/p>\n<p style=\"text-align: justify;\">Click on the green slider button to turn the automatic update off. Instead, we can keep the automatic update active, and change the scheduling frequency and execution time as required. Google Sheets has been the on the forefront of this innovation. Yet, not all 'good-to-have' things are part of it. For instance, from a a given spreadsheet, we cannot yet export data with conditions in Google Sheets.\n<h3>Why export data with conditions in Google Sheets?<\/h3>\nBryan working as a data analyst at a major retail company that has outlets across the country. All the employees use Google Sheets for their spreadsheet needs. His job involves analyzing sales data, identify trends, skim the customer spending patterns and establish the likelihood of their upcoming purchases. Once he has the list ready, he will need to filter out those customers with high probability of future purchases, and send it to Kirk, from the customer services relations (CRM) team. Kirk would then reach out to each of those customers with attractive deals and offers, and persuade them to visit the store. Because those are the ones who can be easily moved with a simple marketing stimulus as opposed to the ones who are not planning to buy anytime soon.\n\n[panel type=\"default\"] <strong>Example<\/strong> <img class=\"aligncenter size-full wp-image-5533\" src=\"https:\/\/static.sheetgo.com\/wp-content\/uploads\/2017\/11\/exportcondition1.png\" alt=\"Export Data With Conditions - Illustration 1\" width=\"867\" height=\"569\" \/>[\/panel]\n\nNeedless to say, the list of less probable customers is not of much use, and it's better not to include them in the list.\u00a0So, what can Bryan do? Every time he has a new list, he can filter it\u00a0to retain only the high probable prospects and accordingly shares that filtered list to Kirk. It might look easy. But, what if\u00a0there are a considerable number of\u00a0categories and CRM representatives to deal with (let\u2019s say about 50)? And, if he has to do that every day with the new list? Imagine the effort that Bryan has to put in to get out all the necessary information to the concerned parties. Not very easy! He would rather have this automated than manually deal with it every single day.\n<h3>Solution: Automatically export the data with Sheetgo<\/h3>\nThere isn't a native functionality available using which we can export data with conditions in Google Sheets. Therefore, we will need the help of the Sheetgo add-on, to accomplish this automation setup. This\u00a0add-on highly boosts the connectivity of Google Sheets. With Sheetgo we\u00a0can import, export, merge, stack or mirror data. It can automatically manage all the heavy-lifting that Bryan had to manually do (explained above). We can get it by clicking the button below:\n\n[panel][ccj id=\"Install Widget\"][\/panel]\n<h3>Configuration: Steps to automatically export data with conditions in Google Sheets<\/h3>\nFor the purposes of demonstration, we will export data from \"<strong>Customer Analysis<\/strong>\" file that Bryan uses, to \"<strong>Sales Prospects<\/strong>\" file which Kirk will work on. For this to happen seamlessly, it is a pre-requisite that Kirk grant Bryan necessary edit access control to the file \"<strong>Sales Prospects<\/strong>\".\n<h4>1. Start\u00a0Sheetgo and initiate an export link connection<\/h4>\nNow that we have Sheetgo installed on our Google Sheets application, we now\u00a0open the \u201c<strong>Customer Analysis<\/strong>\u201d file. To start the add-on, we navigate to\u00a0<strong>Add-ons > Sheetgo > Start<\/strong>.\n<div class=\"panel panel-default\">\n<div class=\"panel-body\">\n\n[panel type=\"default\"] <strong>Example<\/strong> <img class=\"aligncenter size-full wp-image-5534\" src=\"https:\/\/static.sheetgo.com\/wp-content\/uploads\/2017\/11\/exportconditon2.png\" alt=\"Export Data With Conditions - Illustration 2\" width=\"790\" height=\"278\" \/>[\/panel]\n\n<\/div>\n<\/div>\nDoing so will open the Sheetgo interface on the screen as a sidebar, as shown in the image below. Hover the mouse pointer over the green circle with a plus, and click on the Export option.\n<h4>2. Link source sheet with the destination file that we need to send the data to<\/h4>\nClicking the \u2018<strong>Connect<\/strong>\u2019 option leads us to the list of most recently updated files by default. If we don\u2019t see the file we want, we can use the search module to lookup a file within the Google Drive. For this demonstration, we select \u201c<strong>Sales Prospects<\/strong>\u201d file for \u2018Destination spreadsheet\u2019, and then for \u2018source sheet\u2019 choose \u201c<strong>Sheet1<\/strong>\u201d.\n<div class=\"panel panel-default\">\n<div class=\"panel-body\">\n\n[panel type=\"default\"] <strong>Example<\/strong> <img class=\"aligncenter size-full wp-image-5536\" src=\"https:\/\/static.sheetgo.com\/wp-content\/uploads\/2017\/11\/exportcondition3.png\" alt=\"Export Data With Conditions - Illustration 3\" width=\"1000\" height=\"611\" \/>[\/panel]\n\n<\/div>\n<\/div>\nWe then arrive at the settings screen. Here we can select the frequency of updates in the \u201cAutomatic update\u201d section. We leave it to the default option,\u00a0\u2018Daily\u2019, because Bryan updates the list every day. Also, in the future, if Bryan doesn\u2019t need the automatic updates any more, he can turn them off in this section.\n<h4>3. Add a filter condition for selective data export, and create a connection<\/h4>\nScroll down on the sidebar to reach \u201c<strong>Filter by<\/strong>\u201d section. It shows \u201cNo active filter\u201d by default. Click on \u2018<strong>edit<\/strong>\u2019. The probability related field is on column F on the <strong>Customer Analysis<\/strong> file (please see the first snapshot). Bryan needs to send the list of all customers with probability greater than or equal to 0.6. Therefore we ensure it is \u201c<em><strong>Column F: Probablity of next visit<\/strong><\/em>\u201d in the first drop-down, '<em><strong>Number greater than or equal to<\/strong><\/em>' in the second. The value in the text field will be, <em><strong>0.6<\/strong><\/em>. Then we click on \u201cOK\u201d.\n\nThe\u00a0\u201c<strong>Filter by<\/strong>\u201d section now shows \u201c<em><strong>Column F number greater than or equal to 0.6<\/strong><\/em>\u201d. Please note that we can change the frequency with which these data exports happen or even turn off the automatic updates altogether. Shown below is how we navigate to the corresponding settings pane.\n\n<strong>Connection name\u00a0<\/strong>(in this case \u201cSG_Sheet1\u201d)<strong>\u00a0> edit\u00a0<\/strong>(the pencil icon)<strong>\u00a0> Automatic update > edit<\/strong>.\n\nClick on the green slider button to turn the automatic update off. Instead, we can keep the automatic update active, and change the scheduling frequency and execution time as required.
