We are ushered into the era of Cloud computing technology, where we upload the data and access it from any location or device. Without ever having to worry about losing it, that is! Many of you might already be aware that Google Sheets is a cloud-based spreadsheets application. We can use it to store the spreadsheets, open and modify them, and also share them with other users. We are ushered into the era of Cloud computing technology, where we upload the data and access it from any location or device. Without ever having to worry about loosing it, that is! Many of you might already be aware that Google Sheets is a cloud based spreadsheets application. We can use it to store the spreadsheets, open and modify them, and also share them with other users. But, can we use it to record historic data from Excel file? We can, but not without a little help.

Why record historic data from Excel file?

Irvin is an experienced stock broker. For the purposes of analysis and daily stock tracking, he uses Microsoft Excel. He had written an automated script (macro) on his Excel. Its job is to fetch current stock information of a few companies he invested in, at designated time of the day. Below is the snapshot of the refreshed stock data of the day.

[panel type="default"] Example [/panel]

Given the time sensitivity of the data which changes every day, he would like to keep a record of the historic data. Because of the ease of accessibility, he wishes to store it onto Google Sheets.

It can get very challenging to continuously historic data from Excel file to Google Sheets whenever the stock information changes every day. Since Irvin is usually very busy with other important things, he'd rather not do this back up activity manually. Also, unfortunately for Irvin, there is no native Google Sheets function in place that can take care of this for him.

Solution: Automate the backup process with Sheetgo add-on.

For this use case, the configuration is going to be a simple two-step procedure. Irvin will have to:

Install Google Drive or Google Drive plug-in for Microsoft Office and store the Excel file on the Google Drive.

Create a connection between the uploaded Excel file and Google Sheets file, using Sheetgo add-on.

[panel type="default"] Configuration process [/panel]

We will first upload the Excel file to the Google Drive. And then, create a brand new Google Sheets file on which we'll configure the Sheetgo add-on such that it will automatically record historic data from Excel file to this Google Sheets file.

I. Upload Excel file to Google Drive

In this example, we will upload the Todays Stock Information.xlsm Excel file (shown above), and record its data onto the Google Sheets file with name - Historic Stock Information.

You may go through the "Upload Excel file to Google Drive" section of this blog post to understand the procedure for the first configuration step, i.e. upload the Excel file to Google Drive.

II. Create an Append connection using Sheetgo add-on and automatically backup Excel data.

Now that Irvin has uploaded the macro enabled Excel file to Google Drive, he will have to through the following sequence of steps to establish the Sheetgo's Append connection to automatically record historic data from Excel file to Google Sheets. Sheetgo supports .XLS, .XLSX, and .XLSM formats.

Open the Google Sheets file that we want to import data to. In this case we have created a new file called Historic Stock Information.

If the Sheetgo add-on isn't installed already, we can click the button below to install Sheetgo in our Google Sheets application. [panel][ccj id="Install Widget"][/panel]

Go to menu Add-ons > Sheetgo > Start.

Click on the green + button and select the "Import data" option

Choose the "Append" option.

Find and select the required Microsoft Excel file (Todays Stock Information.xlsm) from our Google Drive.

Select the source sheet that we want to import the data from (Sheet1).

We may choose to adjust the frequency settings to automate the import on a scheduled basis, but for now we leave it as is.

Also, we can edit the 'Filter' conditions so that we can only import selective row/column information. But in this example we will need everything, so we leave it on default values.

Finally, we click on the "CONNECT" button.

[panel type="default"] Sheetgo will now automatically record historic data from Excel file to Google Sheets

[/panel]

Here's the snapshot of the data backup made after a few days. Please notice the changes in the date and stock data for the additional records.

[panel type="default"] Example [/panel]

The data backup keeps happening automatically and periodically once the appropriate connection is in place. Please note that we can change the frequency with which these data backups happen or even turn off the automatic update altogether. Shown below is how we navigate to the corresponding settings pane.

Connection name (in this case “SG_Sheet1”) > edit (the pencil icon) > Automatic update > edit.

Click on the green slider button to turn the automatic update off. Instead, we can keep the automatic update active, and change the scheduling frequency and execution time as required. Once done, click OK and then on SAVE button.

How do we ensure the data is current?

Now that we have automated the two-step process (please see the second snapshot), how do we make sure that Sheetgo always fetches the latest information? Please go through the "Keeping the connection active" section of this blog post to get to know how we can accomplish this.

Icons made by Vectors Market from www.flaticon.com is licensed by CC 3.0 BY

[33
43
post-3360","post","type-post","status-publish","format-standard","has-post-thumbnail","hentry","category-how-to-solve-with-sheetgo","tag-sheetgo
["GET
