Although both powerful, Excel and Google Sheets do offer different features, which is often why you might want to import specific data from one of these tools to another.

There are many circumstances in which you’d need to import filtered data from Excel to Google Sheets. For example, let’s say I have an Excel spreadsheet containing all of the current work tasks across departments. I want to import all of the Marketing department’s tasks into Google Sheets, as this is their preferred spreadsheet tool. What’s more Google Sheets offers collaborative features that allow the Marketing team to input their task progress simultaneously.

Unfortunately, neither Excel nor Google Sheets offer a native feature in order to import data from one tool to another. However, using the Sheetgo web app, not only can you can effectively filter my Excel data to import into Google Sheets, but you can do this automatically. As a result, you can make the most of interchanging between these two spreadsheet tools, whilst saving a lot of time in the process.

Let’s explore more of the benefits of using Sheetgo for this process, and how to do it in just a few simple steps.

[/et_pb_text][/et_pb_column][/et_pb_row][et_pb_row column_structure=”3_5,2_5″ use_custom_gutter=”on” make_equal=”on” _builder_version=”4.23.1″ _module_preset=”default” background_color=”#d3e3ff” custom_margin=”40px||40px||true|false” custom_padding=”30px|30px|30px|30px|true|true” border_radii=”on|12px|12px|12px|12px” global_module=”44972″ global_colors_info=”{}” theme_builder_area=”post_content”][et_pb_column type=”3_5″ _builder_version=”4.23.1″ _module_preset=”default” positioning=”none” vertical_offset=”-44px” custom_css_main_element=”margin:auto;” global_colors_info=”{}” theme_builder_area=”post_content”][et_pb_text _builder_version=”4.23.1″ _module_preset=”default” header_font_size=”33px” header_4_text_color=”#071623″ header_4_font_size=”24px” header_4_line_height=”1.4em” background_color=”RGBA(255,255,255,0)” text_font_size_tablet=”17px” text_font_size_phone=”17px” text_font_size_last_edited=”on|phone” header_4_font_tablet=”” header_4_font_phone=”” header_4_font_last_edited=”on|tablet” text_orientation_tablet=”center” text_orientation_phone=”center” text_orientation_last_edited=”on|phone” global_colors_info=”{}” theme_builder_area=”post_content”]

Ready to streamline your data?

[/et_pb_text][/et_pb_column][et_pb_column type=”2_5″ _builder_version=”4.23.1″ _module_preset=”default” custom_css_main_element=”margin:auto;” global_colors_info=”{}” theme_builder_area=”post_content”][et_pb_button button_url=”https://app.sheetgo.com/” url_new_window=”on” button_text=”START NOW” button_alignment=”center” _builder_version=”4.23.1″ _module_preset=”default” custom_button=”on” button_text_size=”16px” button_text_color=”#ffffff” button_bg_color=”#2979ff” button_border_width=”0px” button_border_radius=”6px” button_font=”|700|||||||” button_use_icon=”off” custom_margin=”0px|0px|0px|0px|true|true” custom_margin_tablet=”10px||||false|false” custom_margin_phone=”10px||||false|false” custom_margin_last_edited=”on|phone” custom_padding=”15px|20px|15px|20px|true|true” global_colors_info=”{}” button_bg_color__hover_enabled=”on|hover” button_bg_color__hover=”rgba(41,121,255,0.7)” button_bg_enable_color__hover=”on” theme_builder_area=”post_content”][/et_pb_button][/et_pb_column][/et_pb_row][et_pb_row admin_label=”row” _builder_version=”4.16″ background_size=”initial” background_position=”top_left” background_repeat=”repeat” global_colors_info=”{}” theme_builder_area=”post_content”][et_pb_column type=”4_4″ _builder_version=”4.16″ custom_padding=”|||” global_colors_info=”{}” custom_padding__hover=”|||” theme_builder_area=”post_content”][et_pb_video src=”https://www.youtube.com/watch?v=13rQNjCyLLA” _builder_version=”4.24.1″ _module_preset=”default” theme_builder_area=”post_content” hover_enabled=”0″ sticky_enabled=”0″][/et_pb_video][et_pb_text _builder_version=”4.16″ _module_preset=”default” global_colors_info=”{}” theme_builder_area=”post_content”]

Why import data from Excel to Google Sheets?

As mentioned previously, both Excel and Google Sheets offer different features. Given its cloud based platform, one can access the data and collaborate with colleagues independent of location and device. Despite such advancements, there are still areas where Google Sheets falls short. For example, there isn't a functionality available to automatically import filtered data from Excel spreadsheets.

Why import filtered data from Excel?

To explain this, let us meet Justin, a customer relations manager (CRM) for his region in one of the biggest retail businesses in the country. He is responsible for strengthening customer experience and thereby help retain its customers. Twice a week, the company conducts on-line surveys across the country. The participants are randomly picked and not considered for surveys again for next 3 months. Therefore the company has country wide data with it twice in a week. While the company knows how their customers are feeling about them on a higher level, it is the responsibility of the regional CRMs to ensure they plan and execute their strategy based on the ongoing results for their region.

But, the company wide information is pooled in the form of an Excel file. Whereas Justin uses Google sheets for his spreadsheet needs, because he mostly travels on the field. He would rather be interested to see how the customers from his region are responding to his strategy, than go through with the entire list of regions. Therefore, he will need to import filtered the data from Excel file which has information from all regions. How can he do that?

Solution: Automatically import filtered data from Excel using Sheetgo add-on

The company places this comprehensive 'Company survey report' Excel file (snapshot below) on the Google drive using either of the following. And, to enable its CRMs to be able to access this file, they have accordingly granted read permissions.

Google Drive desktop application or

Google Drive plug-in for Microsoft Office

To understand the above mentioned approaches please go through the section Upload Excel file to Google Drive in this blog post.

That said, let us go through the steps required to configure this process.

1) Start Sheetgo and initiate an import link connection

If not already installed, we can get the Sheetgo add-on by clicking Install.

Having installed Sheetgo on our Google Sheets application, we open the 'Regional survey report' file, which as we can guess will hold the information subset from the 'Company survey report' file. To start the add-on, we navigate to Add-ons > Sheetgo > Start.

Example

Doing so will open the Sheetgo interface on the screen as a sidebar, as shown in the image below. Hover the mouse pointer over the green circle with a plus, and click on the Import option.

Example

2. Link source sheet with the destination file that we need to import the data from

Clicking the ‘Connect’ option leads us to the list of most recently updated files by default. If we don’t see the file we want, we can use the search module to lookup a file within the Google Drive. For this example, we select 'Company survey report' file for ‘Source spreadsheet’, and then for ‘source sheet’ choose 'Sheet1'.

Example

We then arrive at the settings screen. Here we can select the frequency of updates in the “Automatic update” section. We leave it to the default option, ‘Daily’, because the company updates the survey report twice a week. Also, in the future, if Justin doesn’t need the automatic updates any more, he can turn them off in this section.

3. Add the filter condition for selective data import, and create a connection

To do this, we may have to scroll down a bit on the sidebar until we see “Filter by” section. By default, it shows “No active filter”. Click on ‘edit’ to add a filter condition. Justin needs data corresponding to his region comprising of the states California, Nevada and Oregon. From the second image on this post, we realize that the location field is in column C. Since we need multiple locations for filtering, we will select 'Query language' option and key in the following query adn click on “OK”.

[code scroll="off" inline="off"]SELECT * WHERE C='California' OR C='Nevada' OR C='Oregon'[/code]

The “Filter by” section now shows the query that we just keyed in.

Example

Please note that we can opt a simpler approach, if we had a single value condition. For instance, if the region had only California, we could go for 'Condition' instead of 'Query Language' as shown below.

Example

Finally, to establish the link that lets us import filtered data from Excel, we click “CONNECT” button. Doing so, we notice that in a few seconds Sheetgo creates a new connection whose status shows “Last update: Just now”. Congratulations! We did import filtered data from Excel to obtain the survey information specific to the region (California, Nevada and Oregon) that Justin handles!

Example

The data import keeps happening automatically and periodically once the appropriate connection is in place, and the Excel file is available at the destination location. Please note that we can change the frequency with which these data imports happen or even turn off the automatic update altogether. Shown below is how we navigate to the corresponding settings pane.

Connection name (in this case “SG_Sheet1”) > edit (the pencil icon) > Automatic update > edit.

Click on the green slider button to turn the automatic update off. Instead, we can keep the automatic update active, and change the scheduling frequency and execution time as required. Once done, click OK and then on SAVE button.

Coffee image created by Kaboompics - Freepik.com
[33
43
post-2829","post","type-post","status-publish","format-standard","has-post-thumbnail","hentry","category-how-to-solve-with-sheetgo","tag-sheetgo
["GET
