Although Google Sheets has many features that help us to manage and analyze our data, there still isn’t a feature to select or filter specific columns to import to another spreadsheet. Currently, the only way to import specific columns to Google Sheets is to import the entire spreadsheet of data and then manually delete the columns we don’t need.

This can take up hours of your time. So what’s a more efficient way?

You can automatically import specific columns into Google Sheets using the Filter feature in Sheetgo’s web app.

This is a great tool to use within business operations where you’re dealing with vast amounts of data that you want to filter and transfer to other files. For example, let’s say you have a spreadsheet full of all the sales records in the latest quarter. Not only are there hundreds of rows of data but also numerous columns.

[/et_pb_text][/et_pb_column][/et_pb_row][et_pb_row column_structure=”3_5,2_5″ make_equal=”on” _builder_version=”4.22.2″ _module_preset=”default” background_color=”#d3e3ff” custom_padding=”30px|30px|30px|30px|true|true” border_radii=”on|12px|12px|12px|12px” global_colors_info=”{}” global_module=”44972″ theme_builder_area=”post_content”][et_pb_column type=”3_5″ _builder_version=”4.22.2″ _module_preset=”default” custom_css_main_element=”margin:auto” global_colors_info=”{}” theme_builder_area=”post_content”][et_pb_text _builder_version=”4.22.2″ _module_preset=”default” header_font_size=”33px” header_4_font_size=”24px” background_color=”RGBA(255,255,255,0)” text_font_size_tablet=”17px” text_font_size_phone=”17px” text_font_size_last_edited=”on|phone” header_4_font_tablet=”” header_4_font_phone=”” header_4_font_last_edited=”on|tablet” text_orientation_tablet=”center” text_orientation_phone=”center” text_orientation_last_edited=”on|phone” global_colors_info=”{}” theme_builder_area=”post_content”]

Ready to streamline your data?

[/et_pb_text][/et_pb_column][et_pb_column type=”2_5″ _builder_version=”4.22.2″ _module_preset=”default” custom_css_main_element=”margin:auto” global_colors_info=”{}” theme_builder_area=”post_content”][et_pb_button button_url=”https://app.sheetgo.com/” url_new_window=”on” button_text=”START NOW” button_alignment=”center” _builder_version=”4.22.2″ _module_preset=”default” custom_button=”on” button_text_size=”16px” button_text_color=”#ffffff” button_bg_color=”#2979ff” button_border_width=”0px” button_border_radius=”6px” button_font=”|700|||||||” button_use_icon=”off” custom_margin=”0px|0px|0px|0px|true|true” custom_margin_tablet=”10px||||false|false” custom_margin_phone=”10px||||false|false” custom_margin_last_edited=”on|phone” custom_padding=”15px|20px|15px|20px|true|true” global_colors_info=”{}” button_bg_color__hover_enabled=”on|hover” button_bg_color__hover=”rgba(41,121,255,0.7)” button_bg_enable_color__hover=”on” theme_builder_area=”post_content”][/et_pb_button][/et_pb_column][/et_pb_row][et_pb_row _builder_version=”4.16″ custom_padding=”27px|0px|27px|0|false|false” global_colors_info=”{}”][et_pb_column type=”4_4″ _builder_version=”4.16″ custom_padding=”|||” global_colors_info=”{}” custom_padding__hover=”|||”][et_pb_image src=”https://static.sheetgo.com/wp-content/uploads/2021/09/Import-columns.png” alt=”import specific columns 0″ title_text=”Import columns” align=”center” _builder_version=”4.16″ _module_preset=”default” global_colors_info=”{}”][/et_pb_image][et_pb_text _builder_version=”4.16″ _module_preset=”default” global_colors_info=”{}”]You may want to only extract certain columns in order to focus on a specific field of analysis. One of the tasks he has to do as part his job is to analyze how each product is performing across regions. Every day he receives previous day's sales information as shown in the snapshot below. However, for this task, he doesn't need the entire data. So he will have to pick what is required for the purpose. In other words, import specific columns as needed. For this use case, we are going to import columns B, F, G and H.

[panel type="default"]Example

[/panel]

He may choose to import the entire data set and remove unnecessary columns. But, what if the data set is huge (let's say there are about 50 columns), and the information we need is spread across? Add to that, he is to do this every day. It is definitely not what Evan would like to do repeatedly, especially if there is an automated solution to get this done.

User-friendly solution: Automate with Sheetgo add-on

Assuming that Evan has the Sales Information file on his Google Drive with read access, we will now try and configure the automation to import specific columns as required.

1. Start Sheetgo and initiate an import link connection

Open the file that we want the data to import to.

If the Sheetgo add-on isn’t installed already, we can click the button below to install Sheetgo in our Google Sheets application. [panel type="default"][ccj id="Install Widget"][/panel]

Once we have it installed, navigate to Add-ons > Sheetgo > Start.

Doing so will open the Sheetgo interface on the screen as a sidebar, as shown in the image below. Hover the mouse pointer over the green circle with a plus, and click on the Import option. [panel type="default"]Example
[/panel]

2. Link source sheet with the destination file that we need to import the data from

Clicking the 'Connect' option leads us to the list of most recently updated files by default. If we don't see the file we want, we can use the search module to lookup a file within the Google Drive. For this example, we select "Sales Information" file for 'destination spreadsheet', and then for 'source sheet' choose "Sheet1".

[panel type="default"]Example

[/panel]

We then arrive at the settings screen. Here we can select the frequency of updates in the "Automatic update" section. We leave it to the default option, 'Daily', because Evan, receives the updated 'Sales Information' file every day.

3. Add the filter condition for selective data import, and create a connection

To do this, we may have to scroll down a bit on the sidebar until we see "Filter by" section. By default, it shows "No active filter". Click on 'edit' to add a condition. Choose 'Query Language' option, and key in the following statement.

[panel type="default"]SELECT B, F, G, H[/panel]

The "Filter by" section now shows "SELECT B, F, G, H". Finally, to establish the link that can automatically export filtered data, we click "CONNECT" button.

[panel type="default"]Example

[/panel]

Doing so, we notice that in a few seconds Sheetgo creates a new connection whose status shows "Last update: Just now".

Congratulations! We did import specific columns from the 'Sales Information' file! Let's check the "Sales Analysis" file to see if the data has flown in.

[panel type="default"]Example

[/panel]

Sure enough, it has, and rightly so! We see that Sheetgo creates a new sheet (name will be same as that of the connection), and accordingly pulls only B, F, G and H column data from 'Sales Information' file.

The data import keeps happening automatically and periodically once the appropriate connection is in place. Please note that we can change the frequency with which these data imports happen or even turn off the automatic setting altogether. Shown below is how we navigate to the corresponding settings pane.

Connection name (in this case “SG_Sheet1”) > edit (the pencil icon) > Automatic update > edit.

Click on the green slider button to turn the automatic update off. Instead, we can keep the automatic update active, and change the scheduling frequency and execution time as required. Once done, click OK and then on SAVE button.

Advanced solution: Use composite Google Sheets formulas to import specific columns

Seasoned Google Sheets users may comfortable using a combination of two built-in formulas, QUERY and IMPORTRANGE.
