Luckily, Google Sheets has easy-to-use filters in the app to make this process more efficient. However, since more users will be working with the same information, it is crucial to establish a filtering system that aids, and not hinders, their experience. By the end of this article, you will know how to filter information in Google Sheets. How to apply the direct filter to a Google Sheet<\/h3>\n<p>This is perhaps the most straightforward way to filter data. This feature is useful for any scenario in which you want a group of users to see the same filtered information as you. In order to do this, I can apply a direct filter to show the tasks that belong to the upcoming month.<\/p>\n<p>First, click on the funnel icon located on the far right of the toolbar. You should see a filter sign appear at the top of each column. Click this sign in your desired column \u2013 in my example, column E. Simply expand the <b>Filter by values<\/b> section and click <b>Clear<\/b>. Now it\u2019s time to customize your filters. Click on the values that you wish to filter your data by. However, what if you want different users to be able to view different data? Or what if you want to share different filters with different people? The Google Sheets filter view feature is the best option to use for these reasons.<\/p>\n<p>More importantly, you may also need to use these customized filters in the future. This is where Google Sheets filter view option comes in handy.<\/p>\n<p>[\/et_pb_text][et_pb_text _builder_version=&#8221;4.16&#8243; _module_preset=&#8221;default&#8221; global_colors_info=&#8221;{}&#8221; theme_builder_area=&#8221;post_content&#8221;]<\/p>\n<h3>2. How to apply the filter view to a Google Sheets<\/h3>\n<p>Imagine that you want the spreadsheet to keep all data visible and unfiltered and leave this for each users\u2019 convenience. The filter view allows users to work on the same spreadsheet without affecting what the others see. What\u2019s more, you can save custom filters to use again in the future. Let\u2019s take a look at how to create a filter view.<\/p>\n<p>Firstly, remove the filters from your columns. Do this by simply clicking the filter icon at the top of your column, expand the <b>Filter by values<\/b> section and click <b>Select all<\/b>. All of your data should reappear. You can dismiss the message and proceed to rename the filter <b>Filter 1<\/b> to suit your needs.<\/p>\n<p>Let\u2019s say I now want to view the tasks due in June. In this example, I\u2019ll rename it \u201cJune tasks.\u201d Then, apply the filter conditions of your choice. If you give access to a coworker or client, you can directly choose the data that will be viewed and made accessible to them. Google Sheets currently lacks a built-in feature that allows you to edit filtered data without affecting the rest of the team that is working on that same spreadsheet. Using the Sheetgo web app, I can send the tasks specific to Valentine into her own personal task spreadsheet, where she has everything located in one place. And at times it becomes tedious going through all the data. Which is why we have filters built right into the application. But then Google Sheets is a collaborative cloud-based spreadsheet program. So, apart from direct filters, there's got to be a way to apply filters that don't hamper the experience of other users working on the same spreadsheet. In this article, we will try and elaborate how to&nbsp;filter Google Sheets without affecting other users.\n<h3>Filters<\/h3>\nFor the purposes of this post, let us consider the following 'Test Scores' Google Sheets file. Two users currently share this spreadsheet.\n\n<strong>Example<\/strong> <img class=\"aligncenter size-full wp-image-6007\" src=\"https:\/\/static.sheetgo.com\/wp-content\/uploads\/2017\/11\/filter1.png\" alt=\"Filter google sheets without affecting other users - Illustration 1\" width=\"809\" height=\"592\">\n\nThe first user wants to see only the list of students whose average is at least 70. To do that, he will navigate to <strong>Data &gt; Filter<\/strong> (alternatively he can also click on the funnel icon in the menu). Then on column F, he will apply the filter condition as shown below.\n\n<strong>Example<\/strong> <img class=\"aligncenter size-full wp-image-6008\" src=\"https:\/\/static.sheetgo.com\/wp-content\/uploads\/2017\/11\/filter2.png\" alt=\"Filter google sheets without affecting other users - Illustration 2\" width=\"809\" height=\"592\">\n\nOn clicking <strong>OK<\/strong>, the filtered result is as shown below.\n\n<strong>Example<\/strong> <img class=\"aligncenter size-full wp-image-6009\" src=\"https:\/\/static.sheetgo.com\/wp-content\/uploads\/2017\/11\/filter3.png\" alt=\"Filter google sheets without affecting other users - Illustration 3\" width=\"809\" height=\"592\">\n\nSo far so good. But there is an inherent problem with Filters. Applying a filter on a Google Sheets file will filter out the data for all the users using that spreadsheet, even if the other users do not need it. This, for the obvious reasons, is not desirable. Therefore, as much as Filters are very useful in helping us view specific information, it is not an ideal utility for multi-user scenario.\n<h3>Solution: Use Filter views to filter Google Sheets without affecting other users<\/h3>\nThis functionality overcomes the limitations of the Filters that we discussed above. In order to explore this, we'll reset the filters applied in the previous step by navigating to <strong>Data &gt; Turn off filter<\/strong>&nbsp;(or click on the funnel icon).\n\nTo add a Filter view, navigate to <strong>Data &gt; Filter views &gt; Create new filter view<\/strong> (or alternatively click on the drop down adjacent to the funnel icon on the menu bar, then on <strong>Create new filter view<\/strong>).\n\n<strong>Example<\/strong> <img class=\"aligncenter size-full wp-image-6010\" src=\"https:\/\/static.sheetgo.com\/wp-content\/uploads\/2017\/11\/filter4.png\" alt=\"Filter google sheets without affecting other users - Illustration 4\" width=\"809\" height=\"592\">\n\nWe not only be able to apply filter conditions of our choice (just like we did with Filters) but also name this filter view so that we can use this in the future. While we apply the filter conditions, only our view changes (as indicated in the tip in the snapshot above), and it doesn't affect others' views.\n\nWe can use the settings (gear) icon (highlighted in the snapshot below) to edit the properties or even to either duplicate or delete it.\n\n<strong>Example<\/strong> <img class=\"aligncenter size-full wp-image-6012\" src=\"https:\/\/static.sheetgo.com\/wp-content\/uploads\/2017\/11\/filter5.png\" alt=\"Filter google sheets without affecting other users - Illustration 5\" width=\"879\" height=\"592\">\n\nHow do we reset a Filter view? Just click on the close (<strong>X<\/strong>) button on the top right corner, adjacent to the settings icon! If we need to re-apply the same Filter view sometime in the future, all we need to do is navigate to <strong>Data &gt; Filter views<\/strong>&nbsp;(or alternatively click on the drop down adjacent to the funnel icon on the menu bar). Then we see the list of all the previously saved Filter views. Choose the one we need from the list. And. in an instant, we see only the specific information that the chosen Filter view was created for.\n\n<strong>Example<\/strong> <img class=\"aligncenter size-full wp-image-6013\" src=\"https:\/\/static.sheetgo.com\/wp-content\/uploads\/2017\/11\/filter6.png\" alt=\"Filter google sheets without affecting other users - Illustration 6\" width=\"879\" height=\"592\">\n<h3>Advantages of Filter views<\/h3>\nUnlike Filters, we can have as many Filter views as required specific to users or individual needs. And, apply whichever suits us at a particular point in time. All this without having to disrupt others working on the same Google Sheets file. Also, it is worth noting that, even if a user has a 'View only' access, he\/she will still have access to all the available Filter views on the spreadsheet.\n\n<strong>Example<\/strong> <img class=\"aligncenter size-full wp-image-6014\" src=\"https:\/\/static.sheetgo.com\/wp-content\/uploads\/2017\/11\/filter7.png\" alt=\"Filter google sheets without affecting other users - Illustration 7\" width=\"611\" height=\"323\">\n\nTherefore, Filter views is a great way to filter Google Sheets without affecting other users.
