This will then limit the type of input a user can enter into your spreadsheet; if the input is not within the data range you have established, then the input becomes invalid.<\/p>\n<p>Let\u2019s take a look at each element within the data validation feature:<\/p>\n<ul>\n<li><b>Apply to range: <\/b><span style=\"font-weight: 400;\">This is the range of cells your data validation will be applied to.\u00a0<\/span><\/li>\n<li><b>Criteria: <\/b><span style=\"font-weight: 400;\">This is the type of data validation you want to apply. The options are the following: Dropdown, Dropdown from a range, Text, Date, Number, Custom formula, and Checkbox. This criterion gives you a lot of options of how to control data, from only accepting an exact text match, to accepting a valid email address or URL.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">In this example, I can ensure employees input a valid email address in my \u2018Email\u2019 column by selecting <\/span><b>Text is valid email<\/b><span style=\"font-weight: 400;\">.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Under <\/span><b>Advanced options<\/b><span style=\"font-weight: 400;\">, you can choose what will happen if I input invalid data. By choosing the <\/span><b>Date<\/b><span style=\"font-weight: 400;\"> criterion and the <\/span><b>Is valid date<\/b><span style=\"font-weight: 400;\"> option, any invalid dates will be rejected by Google Sheets.<\/span><\/p>\n<p>&nbsp;<\/p>\n<p>[\/et_pb_text][et_pb_image src=&#8221;https:\/\/static.sheetgo.com\/wp-content\/uploads\/2023\/04\/Data-validation-10.png&#8221; alt=&#8221;Data validation 10&#8243; title_text=&#8221;Data validation 10&#8243; align=&#8221;center&#8221; _builder_version=&#8221;4.20.2&#8243; _module_preset=&#8221;default&#8221; global_colors_info=&#8221;{}&#8221; theme_builder_area=&#8221;post_content&#8221;][\/et_pb_image][et_pb_text _builder_version=&#8221;4.20.2&#8243; _module_preset=&#8221;default&#8221; global_colors_info=&#8221;{}&#8221; theme_builder_area=&#8221;post_content&#8221;]<\/p>\n<p><span style=\"font-weight: 400;\">Now Google Sheets will only accept a valid date when you input data into the cells where the data validation is applied. If you double-click a cell within this range, a calendar will appear.<\/span><\/p>\n<p>[\/et_pb_text][et_pb_image src=&#8221;https:\/\/static.sheetgo.com\/wp-content\/uploads\/2023\/04\/Data-validation-11.png&#8221; alt=&#8221;Data validation 11&#8243; title_text=&#8221;Data validation 11&#8243; align=&#8221;center&#8221; _builder_version=&#8221;4.20.2&#8243; _module_preset=&#8221;default&#8221; global_colors_info=&#8221;{}&#8221; theme_builder_area=&#8221;post_content&#8221;][\/et_pb_image][et_pb_text module_id=&#8221;number&#8221; _builder_version=&#8221;4.20.2&#8243; _module_preset=&#8221;default&#8221; global_colors_info=&#8221;{}&#8221; theme_builder_area=&#8221;post_content&#8221;]<\/p>\n<h3><span style=\"font-weight: 400;\">Number<\/span><\/h3>\n<p><span style=\"font-weight: 400;\">The Number criterion allows you to define a range of numbers that users can input. You have options to validate numbers above or below a certain value, or between two values.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">For example, in my &#8220;Employee ID&#8221; column, I want to make sure that employees correctly add their 4-digit ID number. I can choose <\/span><b>Number<\/b> <b>is between<\/b><span style=\"font-weight: 400;\"> and add the lowest value as 1000 and the highest as 9999.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">This means that users can only input a 4-digit number.<\/span><\/p>\n<p>&nbsp;<\/p>\n<p>[\/et_pb_text][et_pb_image src=&#8221;https:\/\/static.sheetgo.com\/wp-content\/uploads\/2023\/04\/Data-validation-12.png&#8221; alt=&#8221;Data validation 12&#8243; title_text=&#8221;Data validation 12&#8243; align=&#8221;center&#8221; _builder_version=&#8221;4.20.2&#8243; _module_preset=&#8221;default&#8221; global_colors_info=&#8221;{}&#8221; theme_builder_area=&#8221;post_content&#8221;][\/et_pb_image][et_pb_text module_id=&#8221;checkbox&#8221; _builder_version=&#8221;4.20.2&#8243; _module_preset=&#8221;default&#8221; global_colors_info=&#8221;{}&#8221; theme_builder_area=&#8221;post_content&#8221;]<\/p>\n<h3><span style=\"font-weight: 400;\">Checkbox<\/span><\/h3>\n<p><span style=\"font-weight: 400;\">The <\/span><b>Checkbox<\/b><span style=\"font-weight: 400;\"> criterion is perhaps the most straightforward data validation. It allows you to format the cell as a checkbox.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">For example, let\u2019s say I want to add a checkbox to my \u2018Paid?\u2019 column so that employees can check this when they have received their paycheck. Spreadsheets offers a lot of freedom, but this can lead to a messy chunk of data. After all, who never typed the wrong information without realising it? We had to implement different solutions in order to minimize this particular problem, from simple cell validation to advanced HTML forms.\n<h3>Creating a Google Form<\/h3>\nThere is a powerful feature inside the spreadsheets called Forms. It let\u2019s you gather information from coworkers without making them even open the spreadsheet at all. They just fill out the information on their email or a browser, and their answers are automatically added to a spreadsheet that you control. Just open any spreadsheet in Google Docs and click on MENU \u2192 Insert \u2192 Form\u2026 When you create a form, you\u2019ll enter an introductory text and you can list the fields you need your workers to fill. You can choose from text (short or paragraph), multiple choice, checkboxes, linear scale, lists, date and time. Plus you can set the data validation with number, text, regular expression and you can set each field as optional or mandatory. You will watch in real time as data provided by your co-workers effortlessly flows into your master spreadsheet.\n\nYou\u2019ll need to use HTML Service and some AppScript programming If you need a more advanced type of validation on your form. Consider a situation where the user has to register the supplier name on every invoice. This information need to be consistent, otherwise your analysis of the invoice data will give multiple results where there should only be one. In this scenario you will need to pre-load a list of suppliers into a listbox in order to your users to select. I could create a blog post on how to create such dynamic forms, but for now let\u2019s keep it simple.\n<h3>Embed the new Form into a website<\/h3>\nOf course we do not want anybody to input data into our master spreadsheet and the easiest and faster way to add an extra layer of security is to either configure the form to only allow people of your company domain (it requires Google App for Work) to input data or you can embed it on your intranet site and give permissions only to certain authorized workers at the page level.\n<h3>Locking the Spreadsheet<\/h3>\nAs you have created the form to make your workers to input data correctly, there is no reason why they would need to go to the main spreadsheet.
