The conventional spreadsheets were predominantly used by a single user in the offline mode. And, Google Sheets has been pioneering the\u00a0transition\u00a0to online-multi-user mode. Certainly, life is much easier with such spreadsheets. We can store them online and manage\u00a0them across the team using\u00a0appropriate access controls. While these advancements\u00a0have\u00a0made a lot of things hassle-free, not everything is taken care of. And he needs to share the appropriate data with corresponding salespersons in-charge. For example, Nathan is the salesperson who takes care\u00a0of the North region. While Nathan would be interested in <g class=\"gr_ gr_57 gr-alert gr_gramm gr_inline_cards gr_run_anim Grammar only-ins replaceWithoutSep\" id=\"57\" data-gr-id=\"57\">North<\/g> region&#8217;s sales leads, he doesn&#8217;t really need other regions&#8217; data.<\/p>\n<p style=\"text-align: justify;\">So, what does Mike do? Every time he has a new list, he filters\u00a0it\u00a0to retain only the North region&#8217;s data and accordingly shares that filtered list to Nathan. Easy, isn&#8217;t it? What if\u00a0there are a considerable number of\u00a0salespersons and regions to deal with (let&#8217;s say about 50)? And, if he has to do that every day with the new list? Imagine the effort that Mike has to put in to get out all the necessary information to the concerned parties. Not so easy, now! To say the least, it gets highly cumbersome. And also\u00a0at a set frequency \u2013 hourly, daily, weekly or monthly. The export takes place from the current spreadsheet to other spreadsheets \u2013\u00a0both ours and other users&#8217;.<\/p>\n<h3>Configuration: Steps to automatically export filtered data<\/h3>\n<p style=\"text-align: justify;\">For the purposes of demonstration, we will use\u00a0five spreadsheets as listed below.<\/p>\n<ol style=\"text-align: justify;\">\n<li>Sales Leads &#8211; All Regions<\/li>\n<li>Sales Leads &#8211;\u00a0North<\/li>\n<li>Sales Leads &#8211; East<\/li>\n<li>Sales Leads &#8211; West<\/li>\n<li>Sales Leads &#8211;\u00a0South<\/li>\n<\/ol>\n<p style=\"text-align: justify;\">As you may have guessed already, we will try and configure auto-export functionality from the\u00a0<g class=\"gr_ gr_36 gr-alert gr_gramm gr_inline_cards gr_run_anim Grammar only-ins replaceWithoutSep\" id=\"36\" data-gr-id=\"36\">first<\/g> file (Sales Leads &#8211; All Regions) to the last four files.\u00a0It is\u00a0even more interesting to note that the North, West, and South sheets are external files (i.e. another user shared them with edit access control). Therefore,\u00a0we will attempt exporting the data to files not only created by us but by other users as well.<\/p>\n<p style=\"text-align: justify;\">We will try with the North file first. Below is the sequence of steps to do so.<\/p>\n<h4>1. Start\u00a0Sheetgo and initiate an export link connection<\/h4>\n<p style=\"text-align: justify;\">Now that we have installed Sheetgo on our Google Sheets application, we now\u00a0open the &#8220;Sales Leads &#8211; All Regions&#8221; file. Link source sheet with the destination file that we need to send the data to<\/span><\/h4>\n<p style=\"text-align: justify;\">Clicking the <strong>Select file(s)<\/strong>\u00a0button leads us to the list of most recently updated files by default. If we don&#8217;t see the file we want, we can use the search module to lookup a file within Google Drive. Here we can select the frequency of updates in the <strong>Automatic update<\/strong>\u00a0section. We leave it to the default option,\u00a0<strong>Daily<\/strong>, because of Mike, the sales manager, updates the list every day. Also, in the future, if Mike doesn&#8217;t need the automatic updates <\/span>anymore<span>, he can turn them off in this section.<\/span><\/p>\n<h4>3. Add the filter condition for selective data export, and create a connection<\/h4>\n<p style=\"text-align: justify;\">To do this, we may have to scroll down a bit on the sidebar until we see <strong>Filter by<\/strong>\u00a0section. By default, it shows &#8220;No active filter&#8221;. Click on &#8216;edit&#8217; to add a condition. From the second image on this post, we realize that the region field is in column A. Since we need to create a filter based on Region, we ensure it is <strong>Column A: Region<\/strong>\u00a0in the first drop-down. And, since we need North Region&#8217;s data to go to the &#8220;Sales Leads &#8211; North&#8221; file, we ensure the second and third options are <strong>Text is exactly<\/strong>\u00a0and <strong>North<\/strong>\u00a0respectively. Then we click on <strong>OK<\/strong>.<\/p>\n<p style=\"text-align: justify;\">The\u00a0<strong>Filter by<\/strong>\u00a0section now shows <strong>Column A: text is exactly North<\/strong>. We&#8217;ve just exported a filtered list of sales leads specifically to the north region! We see that Sheetgo creates a new sheet (the name will be same as that of the connection), and accordingly puts only North data in it.<\/span><\/p>\n<p style=\"text-align: justify;\">It might be a good idea to use a connection name that bears some meaning, which is particularly useful if we manage a lot of connections in the future. And he needs to share the appropriate data with corresponding salespersons in-charge. For example, Nathan is the salesperson who takes care\u00a0of the North region. While Nathan would be interested North region's sales leads, he doesn't really need other regions' data.<\/span>\n\n<span style=\"font-size: 12pt;\">So, what does Mike do? Every time he has a new list, he filters\u00a0it\u00a0to retain only the North region's data and accordingly shares that filtered list to Nathan. Easy, isn't it? What if\u00a0there are a considerable number of\u00a0salespersons and regions to deal with (let's say about 50)? And, if he has to do that every day with the new list? Imagine the effort that Mike has to put in to get out all the necessary information to the concerned parties. Not so easy, now! To say the least, it gets highly cumbersome. Certainly, it isn't an ideal working scenario for Mike.<\/span>\n<h3>Solution: Automate the process with Sheetgo<\/h3>\n<span style=\"font-size: 12pt;\">Before we proceed any further, please be advised that we're assuming that you are using Google Sheets application to handle your spreadsheets.\u00a0We will need a helping hand, in the form of Sheetgo add-on, to accomplish this automation setup. This\u00a0add-on for Google Sheets boosts the connectivity of spreadsheets to the next level. With Sheetgo we\u00a0can import, export, merge, stack or mirror data. It can automatically manage all the heavy-lifting that Mike had to manually do (explained above). Sheetgo\u00a0has a simple free version that allows us to\u00a0perform all these functions. The export takes place from the current spreadsheet to other spreadsheets \u2013\u00a0both ours and other users'.\u00a0<\/span>\n<h3>Configuration: Steps to automatically export filtered data<\/h3>\n<span style=\"font-size: 12pt;\">For the purposes of demonstration, we will use\u00a0five spreadsheets as listed below.<\/span>\n<ol>\n \t<li><span style=\"font-size: 12pt;\">Sales Leads - All Regions<\/span><\/li>\n \t<li><span style=\"font-size: 12pt;\">Sales Leads -\u00a0North<\/span><\/li>\n \t<li><span style=\"font-size: 12pt;\">Sales Leads - East<\/span><\/li>\n \t<li><span style=\"font-size: 12pt;\">Sales Leads - West<\/span><\/li>\n \t<li><span style=\"font-size: 12pt;\">Sales Leads -\u00a0South<\/span><\/li>\n<\/ol>\n<span style=\"font-size: 12pt;\">As you may have guessed already, we will try and configure auto export functionality from first file (Sales Leads - All Regions) to the last four files.\u00a0It is\u00a0even more interesting to note that the North, West, and South sheets are external files (i.e. another user shared them with edit access control). Therefore,\u00a0we will attempt exporting the data to files not only created by us but by other users as well.<\/span>\n\n<span style=\"font-size: 12pt;\">We will try with the North file first. Below is the sequence of steps to do so.<\/span>\n<h4>1. Start\u00a0Sheetgo and initiate an export link connection<\/h4>\n<span style=\"font-size: 12pt;\">Now that we have installed Sheetgo on our Google Sheets application, we now\u00a0open the \"Sales Leads - All Regions\" file. If we don't see the file we want, we can use the search module to lookup a file within the Google Drive. Also, in the future, if Mike doesn't need the automatic updates any more, he can turn them off in this section.<\/span>\n<h4>3. Add the filter condition for selective data export, and create a connection<\/h4>\n<span style=\"font-size: 12pt;\">To do this, we may have to scroll down a bit on the sidebar until we see \"Filter by\" section. By default, it shows \"No active filter\". Click on 'edit' to add a condition. From the second image on this post, we realize that the region field is in column A. Since we need to create a filter based on Region, we ensure it is \"Column A: Region\" in the first drop-down. And, since we need North Region's data to go to the \"Sales Leads - North\" file, we ensure the second and third options are \"Text is exactly\" and \"North\" respectively. Then we click on \"OK\".<\/span>\n\n<span style=\"font-size: 12pt;\">The\u00a0\"Filter by\" section now shows \"Column A: test is exactly North\".
