And today, it\u00a0is almost impossible to imagine our work without spreadsheets. Initially, they were mostly used by a single user in the offline mode. With\u00a0<a href=\"https:\/\/www.google.com\/sheets\/about\/\" target=\"_blank\" rel=\"noopener noreferrer\">Google Sheets<\/a>, the transition is made to online-multi-user mode. Certainly, life is made a lot easier with such advancements. One of the most beneficial uses of it offers is collaboration. We can store them online and manage them across the team using appropriate access controls. Even though we have come a long way with this innovation front, there is still room for improvement. For instance, we can\u2019t export from Google Sheets yet. Every week the school organizes paper-based tests across all grades to gauge students\u2019 performance. Students respond to these tests on OMR based answer sheets. Once the test is done, Veronica receives the response sheets from all the students and runs them through her software. Because she can access it using Google Sheets application from anywhere.\u00a0So, every time Veronica has a new CSV file, she copies the data onto Google Sheets.<\/p>\n<p>Now, at the end of this process, each class teacher needs to access his\/her pupils\u2019 scores. To illustrate this, let us consider the scores of students across three grades \u2013 3, 4 and 5.\u00a0Garrett, Henry, and\u00a0Theresa are the class teachers respectively.\u00a0Garrett would be interested in scores of 3rd-grade scores, and he doesn\u2019t really need scores from other grades. Same is the case with Henry and Theresa. Manually segregating data and sharing it accordingly with the required stakeholders is an option, but not an ideal one. More so, when she has to do it with higher frequency and when there are many grades to deal with.<\/p>\n<h3>Solution: automate the process with Sheetgo<\/h3>\n<p>The<span>\u00a0<\/span>Sheetgo add-on for Google Sheets\u00a0elevates the connectivity between spreadsheets to the next level. The export takes place from the current spreadsheet to other spreadsheets \u2013\u00a0both ours and other users\u2019.<\/p>\n<h3>Configuration: Steps to export from Google Sheets<\/h3>\n<p>For the purposes of demonstration, we will use\u00a0four spreadsheets as listed below.<\/p>\n<ol>\n<li>All Grades \u2013 Scores<\/li>\n<li>Third Grade \u2013 Scores<\/li>\n<li>Fourth Grade \u2013 Scores<\/li>\n<li>Fifth Grade \u2013 Scores<\/li>\n<\/ol>\n<p>We will try and configure auto-export functionality from<span>\u00a0<\/span><strong>All Grades \u2013 Scores<\/strong><span>\u00a0<\/span>file to the next three files. But before that, Veronica imports the scores data using the procedure explained in this<span>\u00a0<\/span><a href=\"https:\/\/www.sheetgo.com\/blog\/how-to-solve-with-sheetgo\/import-csv-to-google-sheets-automatically\/\" target=\"_blank\" rel=\"noopener noreferrer\">post<\/a>. Below is the sequence of steps to do so.<\/p>\n<h4>1. Start\u00a0Sheetgo and initiate an export link connection<\/h4>\n<p>If not already running, navigate to\u00a0Add-ons &gt; Sheetgo &gt; Start, while we are on the <strong>All Grades \u2013 Scores<\/strong>\u00a0file, to start the Sheetgo add-on. Doing so will open the Sheetgo sidebar as similar to the one shown in the second snapshot. Hover the mouse pointer over the green circle with a plus, and click on the<span>\u00a0<\/span><strong>Export<\/strong><span>\u00a0<\/span>option.<\/p>\n<h4>2. Link source sheet with the destination file that we need to send the data to<\/h4>\n<p>Click the <strong>Connect<\/strong>\u00a0option. This will lead us to the list of most recently updated files by default. If we don\u2019t see the file we want, we can look up the file within Google Drive using the search feature. For this example, we select <strong>Third Grade \u2013 Scores<\/strong>\u00a0file for \u2018Destination spreadsheet\u2019, and then for \u2018source sheet\u2019 choose <strong>Student_Test_Scores.csv<\/strong>.<\/p>\n<p>[\/et_pb_text][et_pb_image src=&#8221;https:\/\/static.sheetgo.com\/wp-content\/uploads\/2017\/11\/exportmulti2.png&#8221; alt=&#8221;Selecting Source and Destination Spreadsheets&#8221; title_text=&#8221;source-destination-spreadsheets&#8221; align=&#8221;center&#8221; module_class=&#8221;sheetgo-post-no-shadow-img&#8221; _builder_version=&#8221;4.16&#8243; width=&#8221;100%&#8221; global_colors_info=&#8221;{}&#8221;][\/et_pb_image][et_pb_text _builder_version=&#8221;4.16&#8243; global_colors_info=&#8221;{}&#8221;]<\/p>\n<p>We then arrive at the settings screen. Here we can select the frequency of updates in the <strong>Automatic update<\/strong> section. We change it to <strong>Weekly<\/strong><span>\u00a0<\/span>because Veronica updates the CSV every week. Add the filter condition for selective data export, and create a connection<\/h4>\n<p>To do this, we may have to scroll down a bit on the sidebar until we see <strong>Filter by<\/strong> section. By default, it shows \u201cNo active filter\u201d. Click on edit to add a condition. From the previous image, we realize that the Grade field is in column B. Since we need to create a filter based on Grade, we ensure it is \u201cColumn B: Grade\u201d in the first drop-down. And, we make sure that the second and third options are \u201cNumber is equal to\u201d and \u201c3\u201d respectively. Then we click on <strong>OK<\/strong>.<\/p>\n<p>The Filter by section now shows \u201cColumn B number is equal to 3\u201d. We\u2019ve just exported a filtered list of scores specific to the third grade! With Google Sheets, the transition is made to online-multi-user mode. Certainly, life is made a lot easier with such advancements. One of the most beneficial uses of it offers is collaboration. We can store them online and manage\u00a0them across the team using\u00a0appropriate access controls. While we have come a long way with this innovation front, there is room for improvement. For instance, we can\u2019t export multiple data sets from Google Sheets yet.\n<h3>Why export multiple data sets?<\/h3>\nVeronica is a computer operator at a local high school. Every week the school organizes paper-based tests across all grades to gauge students' performance. Students respond to these tests on OMR based answer sheets. Once the test is done, Veronica receives the response sheets from all the students and run them through her software. Doing this will generate the scores of each student and consolidate them into a CSV file, which looks like this:\n\n[panel type=\"default\"] <strong>Example<\/strong> <img class=\"aligncenter size-full wp-image-5712\" src=\"https:\/\/static.sheetgo.com\/wp-content\/uploads\/2017\/11\/exportmulti8.png\" alt=\"Export multiple data sets - Illustration 1\" width=\"798\" height=\"379\" \/>[\/panel]\n\nFor the benefits we discussed at the beginning of this post, she stores this CSV on her Google Drive. Because she can access it using Google Sheets application from anywhere.\u00a0So, every time Veronica has a new CSV file, she copies the data onto Google Sheets.\n\nNow, at the end of this process, each class teacher need to access his\/her pupils' scores. To illustrate this, let us consider the scores of students across three grades - 3, 4 and 5.\u00a0Garrett, Henry, and\u00a0Theresa are the class teachers respectively.\u00a0Garrett would be interested in scores of 3rd grade scores, and he doesn't really need scores from other grades. Same is the case with Henry and Theresa. Manually segregating data and sharing it accordingly with the required stakeholders is an option, but not an ideal one. More so, when she has to do it with higher frequency and when there are many grades to deal with.\n<h3>Solution: Automate the process with Sheetgo<\/h3>\nThe Sheetgo add-on for Google Sheets elevates the connectivity between spreadsheets to the next level. With this we\u00a0can import, export, merge, or stack data. It can automatically manage all the heavy-lifting that Veronica had to otherwise manually do. We can install it on our Google Sheets using button below:\n\n[panel type=\"default\"][ccj id=\"Install Widget\"]<img \/>[\/panel]\n\nOnce done, we can configure Google Sheets to export multiple data sets subject to predefined frequency and filter conditions. The export takes place from the current spreadsheet to other spreadsheets \u2013\u00a0both ours and other users\u2019.\n<h3>Configuration: Steps to export multiple data sets<\/h3>\nFor the purposes of demonstration, we will use\u00a0four spreadsheets as listed below.\n<ol>\n \t<li>All Grades - Scores<\/li>\n \t<li>Third Grade - Scores<\/li>\n \t<li>Fourth Grade - Scores<\/li>\n \t<li>Fifth Grade - Scores<\/li>\n<\/ol>\nWe will try and configure auto export functionality from <strong>All Grades - Scores<\/strong> file to the next three files. But before that, Veronica imports the scores data using the procedure explained in this <a href=\"https:\/\/www.sheetgo.com\/import-automatically-csv\/\">post<\/a>. Here's how it looks after importing the data from the CSV file using the Sheetgo Add-on.\n\n[panel type=\"default\"] <strong>Example<\/strong> <img class=\"aligncenter size-full wp-image-5713\" src=\"https:\/\/static.sheetgo.com\/wp-content\/uploads\/2017\/11\/exportmulti1.png\" alt=\"Export multiple data sets - Illustration 2\" width=\"868\" height=\"567\" \/>[\/panel]\n\nPlease note that the files corresponding to third, fourth, and fifth grade files are external files (i.e. other users shared them with edit access control).\n\nWe will try with the <strong>Third Grade - Scores<\/strong> file first. Below is the sequence of steps to do so.\n<h4>1. Start\u00a0Sheetgo and initiate an export link connection<\/h4>\nIf not already running, navigate to\u00a0<strong>Add-ons > Sheetgo > Start<\/strong>, while we are on the \u201c<strong>All Grades - Scores<\/strong>\u201d file, to start the Sheetgo add-on. Doing so will open the Sheetgo sidebar as similar to the one shown in the second snapshot. Hover the mouse pointer over the green circle with a plus, and click on the <strong>Export<\/strong> option.\n<h4>2. Link source sheet with the destination file that we need to send the data to<\/h4>\nClick the \u2018<strong>Connect<\/strong>\u2019 option. This will lead us to the list of most recently updated files by default. If we don\u2019t see the file we want, we can lookup the file within Google Drive using the search feature. For this example, we select \u201c<strong>Third Grade - Scores<\/strong>\u201d file for \u2018Destination spreadsheet\u2019, and then for \u2018source sheet\u2019 choose \u201c<strong>Student_Test_Scores.csv<\/strong>\u201d.\n\n[panel type=\"default\"] <strong>Example<\/strong> <img class=\"aligncenter size-full wp-image-5714\" src=\"https:\/\/static.sheetgo.com\/wp-content\/uploads\/2017\/11\/exportmulti2.png\" alt=\"Export multiple data sets - Illustration 3\" width=\"868\" height=\"614\" \/>[\/panel]\n\nWe then arrive at the settings screen. Here we can select the frequency of updates in the \u201cAutomatic update\u201d section. We change it to \u2018Weekly\u2019, because Veronica updates the CSV every week. To avoid any confusion with the upcoming connections, let us change the connection name to \"Third_Grade_Scores\".\n<h4>3. Add the filter condition for selective data export, and create a connection<\/h4>\nTo do this, we may have to scroll down a bit on the sidebar until we see \u201cFilter by\u201d section. By default, it shows \u201cNo active filter\u201d. Click on \u2018edit\u2019 to add a condition. From the previous image, we realize that the Grade field is in column B. Since we need to create a filter based on Grade, we ensure it is \u201cColumn B: Grade\u201d in the first drop-down. And, we make sure that the second and third options are \u201cNumber is equal to\u201d and \u201c3\u201d respectively. Then we click on \u201c<strong>OK<\/strong>\u201d.\n\nThe\u00a0\u201cFilter by\u201d section now shows \u201cColumn B number is equal to 3\u201d. Please note that we can change the frequency with which these data exports happen or even turn off the automatic updates altogether.
