Simple barcode label printing

Barcode label printing is often one of the most frustrating steps in inventory management. Traditional workflows require users to:

  • Manually adjust row heights and column widths to fit print dimensions.
  • Print only one label at a time, which is inefficient for bulk operations.
  • Use print dialog settings to define quantity.
  • Experiment through trial-and-error to get proper alignment and scale.
  • Lack flexibility in choosing barcode types or previewing results.

This leads to time-consuming, error-prone processes and significant user frustration, especially when managing large inventories.

Our solution: Automated barcode label printing

We’ve redesigned the experience from the ground up to eliminate these bottlenecks. Instead of mental gymnastics and manual formatting, we offer a clean, guided, and automated workflow.

Key enhancements

1. Multi-item selection

Users can select multiple products at once — no more printing one barcode at a time.

2. Per-item quantity selection

Set the desired number of labels for each product directly within the interface. No need to tinker with print dialog boxes.

3. Barcode type selector

Choose between Code 128, QR codes, or other formats based on your operational needs — right at the point of label generation.

4. Print label preview

Before finalizing, users can preview the labels for accuracy, layout, and clarity — ensuring what you see is what you print.

5. One-click PDF generation

With a single click, the system auto-generates a PDF file containing all the selected labels, perfectly sized and formatted — ready to print with zero adjustments.

The outcome: fast, reliable, stress-free printing

This upgrade transforms what was once a tedious, manual task into a smooth, intuitive process:

How it works: Automation behind the magic

This feature is powered by a smart Sheetgo automation that links your inventory data directly to a label-generation pipeline.

Here’s the flow:

  1. Register items
Add new products using the “Register item” form. The item data (e.g., Item Name, SKU) goes into your central Items – Inventory sheet.
  2. Select items for printing
Open the new Print labels Google Sheet. It automatically pulls all registered items, and lets you select which ones to print — and how many of each
  3. Generate PDF
With your selections made, Sheetgo takes over: it formats the data into a clean, print-ready layout, and generates a PDF.
  4. Email delivery
The PDF is emailed directly to your inbox. No downloads. No attachments. Just click and print!

Step-by-Step: How to Print Barcode Labels

Step 1: Open the “Print labels” sheet

Navigate to your Sheetgo workflow and open the Print labels Google Sheet.
You’ll see two tabs at the bottom:

  • Print options – this is where you’ll work.

  • View print labels – for previewing results.

Work only in the “Print options” tab.

Step 2: Configure your settings

On the left side of the sheet, find the Configuration table.

  • Paper size: Choose dimensions that match your label paper.

  • Label type: Pick either Barcode or QR code format.

  • Email to send PDFs: Enter the email where the generated file will be sent.

This email step is critical! No email = no labels.

Step 3: Select items and quantities

On the right side is the label selection table.

  • Click a cell under “Select items for printing” → a dropdown shows all inventory items.
  • Pick an item → the SKU auto-fills in the next column.
  • Enter how many labels you want printed.

Repeat as needed for each product.

Step 4: Run the automation

Done selecting items? Click “Run all automations” in your Sheetgo workflow.

Within moments, you’ll receive an email with the subject
“Your barcode labels are ready.”

Why this feature matters

This feature helps you save time by removing the need to manually design labels or format spreadsheets. With a few clicks, you can automate barcode label printing using your current inventory data.

Each label pulls the correct SKU directly from your live system, improving accuracy and eliminating copy-paste mistakes.

Once generated, the labels are emailed to you as a PDF, so there’s no need to download, attach, or manage files manually. It all happens in the background, so you can stay focused on managing your inventory.
